Personal Assistant and Administrative Officer
The Embassy of Ireland in Rabat is recruiting for a Personal Assistant and Administrative Officer.
The Embassy of Ireland in Rabat, Morocco, opened in October 2021 to promote and protect the values, interests and well-being of Ireland and its people in Morocco, as well as in Tunisia and Mauritania. We do this by promoting Ireland’s political and economic interests, strengthening political relations between Ireland and Morocco, Tunisia and Mauritania, working with the local Irish community, and promoting Irish culture.
The Embassy of Ireland in Rabat is seeking an enthusiastic, hardworking individual with excellent communication and interpersonal skills to fill the full-time position of Personal Assistant and Administrative Officer.
The role of the Personal Assistant and Administrative Officer is to provide high-quality administrative support to the Ambassador and the Embassy. This role involves a wide range of tasks as detailed below, including supporting the wider work of the Embassy in line with the Embassy’s business plan and more broadly with the high-level aims and objectives of the Irish Department of Foreign Affairs.
The exact scope of duties will vary over time depending on the requirements of the Embassy. Some work outside of working hours is expected. This role will include, but is not limited to, the following activities:
- Managing travel, diaries and appointments for the Ambassador;
- Managing events from organisation and planning to execution, including high-level visits and other relevant protocol activities;
- Managing office activities, such as answering telephones, registration, other knowledge management systems, scanning/copying, and publishing;
- Managing the general email inbox (including responding to invitations, drafting responses to enquiries relating to travel to Ireland, trade, media, cultural events, etc.);
- Coordinating the full service delivery of the Embassy, liaising between local Moroccan suppliers (ICT, security, accounts, stationery, facilities) and Irish Headquarters as required;
- Providing translation and interpretation services, as necessary, from Arabic and French into English;
- Drafting official communications;
- Designing/ordering business cards, invitation cards (electronic); completing applications etc.;
- Attending meetings and events, including taking minutes and/or representation;
- Supporting the Embassy in managing accounts, including recording invoices and expenses to help maintain accurate accounting records;
- Supporting the Embassy in providing consular assistance to Irish nationals and their families, as required;
- Providing annual leave cover;
- Conducting research and any other tasks as directed by the Ambassador and other members of the Diplomatic Staff; and
- Other tasks as required from time to time and as directed by the Ambassador and other members of the Diplomatic Staff.
Essential Requirements
- Candidates must have a university degree in a relevant discipline;
- Candidates must have at least two years of experience as a secretary; this experience can be from the diplomatic field, the public sector and/or the private sector;
- The candidate must demonstrate through work-based examples that he/she has excellent interpersonal skills, is persuasive, works in a team implementing projects, and also deals effectively with people in external organizations;
- The candidate must provide evidence of flexibility, efficiency and effectiveness by demonstrating strong writing and organizational skills, attention to detail, the ability to work under pressure, manage multiple tasks and work to deadlines
- The candidate must provide examples of being solution-oriented, committed to delivering results, including by adapting the approach if necessary
- The candidate must demonstrate a good working knowledge of the Microsoft Office suite, including Word, Excel and Outlook
- Provide examples of experience using a high level of discretion, commitment and reliability
Candidates must be fluent in Arabic, French and English (a language test may be included as part of the selection process) -
Good numerical, administrative and organizational skills; and
All applicants must have the legal right to reside and work in Morocco
Desirable Skills and Experience
- Good understanding of the role of the Irish Foreign and Commonwealth Office and the Embassy;
- The successful applicant will work alongside other local staff at the Embassy, reporting directly to the diplomatic staff at the Mission. Previous experience on a diplomatic mission is desirable, but not essential
Start date: As soon as possible
Location: Embassy of Ireland, Rabat
Contract duration: One year fixed term, with a one month probation period. Permanent contract possible thereafter.
Working hours: Up to 44 hours per week with occasional hours including some evening and weekend work.
Individuals who are unable to work occasional out of hours should not apply for this position.
Salary: Entry point. Salaries are paid directly into a bank account, therefore the successful candidate must have a bank account.
Annual leave: 20 days per year and a mix of Irish and Moroccan public holidays.
Eligibility: Candidates must have the legal right to reside and work permanently in Morocco and will be subject to local labour and tax law.

Security clearance will be sought from the police in relation to individuals being considered for appointment.
